Our assessment
Prove one complete workflow with test data before moving the whole business. Keep the old system available until the new process, exports and account responsibilities are understood.
A sensible fit when
You can appoint an implementation owner and reserve time to test rather than only configure.
Pause or compare when
Nobody can own the migration or the purchase depends on an untested integration being available.
Compare the decision, not just the headline
| Stage | Required evidence | Go / no-go question |
|---|---|---|
| Design | Named owner, workflow map and mandatory integrations. | Is the core problem clear enough to test? |
| Data | Field mapping, sample import and duplicate review. | Can the team locate and interpret migrated records? |
| Workflow | Success, reply, cancellation and failure test cases. | Can a human stop or repair the process? |
| Launch | Access review, cost allowance and rollback plan. | Can the business continue if the new workflow fails? |

Inventory what must move
Separate contacts, opportunities, message history, files and automation logic. Record what you expect to preserve and ask the vendor to demonstrate the corresponding import or integration. This checklist does not promise every asset can be imported or exported. Avoid a full migration based on the successful import of only a contact spreadsheet.
Build a small acceptance test
Choose a handful of representative records and create synthetic examples for exceptional cases. Follow one inquiry from capture to assignment and appointment, then repeat with a duplicate and a canceled appointment. Confirm access using the role each staff member will actually receive, rather than testing everything as an administrator.
Keep a rollback decision
Write down who can decide to pause the rollout and how the team would continue handling active work. Keep critical records accessible in the existing system until you confirm the required export path. Do not cancel old tools merely because a new platform lists similar features. Running two systems briefly can be a sensible migration cost.
Use the trial as a test window
The public pricing page advertises a standard 14-day trial. Actual checkout terms control the offer you receive; some usage can still be charged. Before starting, schedule the tests and the decision date so the window is useful. Review renewal, account cancellation and any annual commitment directly with the provider before authorizing payment.
After launch, reconcile reality
Compare the first invoice with your cost model and investigate every unexplained item. Ask the team which work still happens outside the system. Save configuration decisions, responsibilities and test outcomes where the next operator can find them. Implementation quality depends on operating discipline; this is an editorial checklist, not a hands-on certification of the product.
Your buying checklist
- Back up source data and document field mapping.
- Confirm required integrations and account permissions.
- Run success and failure cases with test contacts.
- Set a decision date and review renewal terms.
- Reconcile the first invoice before wider rollout.
Use the checklist with your actual team and workflow. Passing a generic feature check is not a guarantee of suitability.
